When to Use this Feature
If you are running Programs with several Groups, for example a learning program with several cohorts or locations, or a culture program with Cascade Conversations across the organization, this feature will make it easy to set up your Sessions and Hosts with one upload file rather than adding and updating each Session individually.
How to use the Bulk Session Uploader
This feature works similar to Bulk Participant Uploads. You'll need a .csv file with the correct data and format to populate the corresponding fields in the platform. You'll find details on how to set up the file right in the Session Uploader tool, which is found in your Module Logistics Tab.
Steps:
- Go to your Module where you'll be adding Sessions.
- In the Logistics Tab, select if the Module is a Habit Builder or a Leader-Led Conversation. (All Sessions will be the same type as the Module type. Sessions in Conversations Modules will include Host Notification and Self-scheduling details in the upload).
- Click the "+ Import CSV" option.
- Create your Bulk Upload file:
- From the Bulk Import Sessions Screen, review the instructions and the field definitions for the data you'll include in your .csv file.
- Create a spreadsheet and add the appropriate headings in the first row of your sheet based on your Module type using the exact format provided:

- session_date
- session_time

- In your spreadsheet add the information for your Sessions, ensuring the format matches what's provided in the instructions.

- Save the spreadsheet as a .csv file, and return to the Module Bulk Import Sessions page.
- Click "Select CSV File to upload" and select the file you created earlier.
- You'll be redirected to an upload update page. Click "Refresh" to see the status, or click "Back To Module" to return to the Module. The upload could take up to a minute.

- Back on the Module Logistics tab you should see all of the newly uploaded Sessions, if not, you can refresh the page.
- Complete Your Session Scheduling:
- For Habit Builder Sessions:
- If all sessions contain the same number of participants, you can click "Select All" , select the "Bulk Actions" option, then select "Edit." From there you can edit the Expected Participant number for all Sessions.
- If you have different Expected Participants for each Session, you can click the pencil icon to edit individual Sessions.
- Edit any other details as needed.
- For Conversations Sessions:
- Conversation Hosts will schedule their own sessions and add their own Expected Participants. See How Do I Schedule My Conversation? for details.
- You can adjust Prompt dates and times for multiple Sessions using the Bulk Actions option, or individual edit option.
- For Habit Builder Sessions:
Uploading Tips and Troubleshooting
Occasionally, you may have an error in your file which will prevent information form loading into User profiles. The Session Uploader tool may identify some errors. Common issues to check:
- If loading new Users - check if they already have an account
- Error in an email address
- Extra information, text, or spaces in a cell
- Information in wrong format i.e. in column label
- Wrong header format, or date/time format
- Headers: check case, underscores, spaces
- Date: YYYY-MM-DD, Time: 24 hr e.g. 09:00:00; 14:00:00
Note: Session Uploader may identify which row of data had the error - which will be 1 row less than the count in your sheet (it doesn’t include header row).
